1. Definitions
Candidate – a person who has applied for the advertised vacancy or submitted his/her data to the database of SIA “ASTRAL Executive Search”.
Personal Data – any information relating to an identified or identifiable natural person (Candidate).
Processing – any activity performed with Personal Data, including collection, recording, storage, change, transfer, etc.
2. Information about the data controller
The controller of Personal Data processing is SIA “ASTRAL Executive Search”, reg. no. 40203075122, registered address: Raunas iela 1 a, Sigulda, LV-2150, (hereinafter – ASTRAL Executive Search).
3. Purpose of data processing policy
The policy has been developed to ensure and inform the Clients about the processing of Personal Data carried out by ASTRAL Executive Search in accordance with the requirements of the laws of the Republic of Latvia, as well as Regulation 2016/679 of the European Parliament and the Council of 27 April 2016 on the protection of natural persons with regard to the processing of Personal Data and such free movement of data (hereinafter – the Regulation) and other applicable laws in the field of privacy and data processing.
4. Categories and sources of Personal Data
4.1. It is the responsibility of the Candidate to submit such data as are necessary for the Controller to evaluate the suitability of the Candidate for the vacancy for which the Candidate has applied.
4.2. ASTRAL Executive Search undertakes to do everything possible to minimize data processing as much as possible and not to process Personal Data that is not necessary for assessing the Candidate’s suitability. However, the Candidate should pay attention to whether the submitted CV and application reveals information about him/herself that is not necessary for evaluating the Candidate’s suitability, in particular, information that the employer is prohibited from obtaining and requesting from the Candidate during the placement of the advertisement and the job interview, including: information about pregnancy, family or marital status, previous convictions (except in cases where this could be of significant importance in relation to the work to be performed), religious beliefs or membership of a religious denomination, membership of a political party, trade union or other public organization and national or ethnic origin.
4.3. To evaluate the suitability of the Candidate for the vacancy, it is necessary to process the following Personal Data:
- Name and surname
- Contact information
- Information about education
- Work experience
- Language skills
- Additional professional knowledge, such as IT, attended specialized courses
- References
- Additional skills and information specified when applying for the position
4.4. ASTRAL Executive Search data is obtained from the Candidate, the application form on the website, public CV databases, as well as from our cooperation partners and, if necessary, from persons giving references.
5. Legal basis and purpose of Personal Data processing
5.1. Personal Data provided by Candidates is processed only for the purposes of selecting the vacancy for which the Candidate has applied.
5.2. Each Candidate is informed (by e-mail or in person) about the possibility of agreeing or disagreeing to saving their CV and additional information in the internal database.
5.3. In the case of the Candidate not agreeing to the processing of Personal Data, ASTRAL Executive Search will not consider his/her candidacy for the vacancy.
6. Data storage
6.1. Personal Data is stored only for as long as is necessary for the purposes for which it was obtained or for as long as is required by regulatory acts.
6.2. If the Candidate has withdrawn his/her consent to the processing of his/her Personal Data, the deletion of his/her Personal Data will be ensured immediately, completed within 3 (three) working days.
6.3. ASTRAL Executive Search implements various security measures to prevent unauthorized access to Personal Data, its disclosure or other illegal use of Personal Data, and security measures are constantly improved in accordance with the requirements set forth in regulatory acts.
7. The Candidate’s right to information and data correction and/or deletion
7.1. CVs older than 5 years are supplemented or deleted.
7.2 The Candidate has the right to request access to his/her provided data at any time, to request their correction or deletion by sending the following request to the e-mail address: info@astralexecutive.com.
7.3. The Candidate has the right to withdraw consent to the further processing of his/her Personal Data by sending ASTRAL Executive Search a withdrawal of his/her candidacy for the specific vacancy by sending such an application to the e-mail address: info@astralexecutive.com.
7.4. If the Candidate believes that his/her data processing rights have been violated, the Candidate has the right to submit a complaint to ASTRAL Executive Search by sending an application to the e-mail address: info@astralexecutive.com.
